How IntelliCX collects, uses, discloses and protects your personal information.

01 Who we are

IntelliCX Pty Ltd (ABN 85 693 551 772) ("IntelliCX", "we", "us" or "our") is an Australia-based outsourcing partner headquartered in Melbourne, Australia, with a delivery centre in Hyderabad, India. We are the data controller responsible for the personal information described in this policy.

02 Scope of this policy

This policy explains how we handle personal information collected through our website and in the course of providing our services. We are committed to handling personal information in accordance with the Australian Privacy Act 1988 (Cth) and the 13 Australian Privacy Principles (APPs), and any other data protection laws that apply to the services we provide.

We are committed to all 13 APPs. The principles most relevant to our operations include APP 1 (open and transparent management), APP 3 (collection of solicited personal information), APP 5 (notification of collection), APP 6 (use and disclosure), APP 8 (cross-border disclosure), APP 11 (security of personal information), APP 12 (access) and APP 13 (correction).

03 Information we collect

We collect personal information that you provide to us directly and information collected automatically when you use our website.

Information you provide

  • Contact details such as your name, business name, email address and phone number
  • The content of enquiries you submit through our contact form or by email
  • Any other information you choose to share with us

Information collected automatically

  • Technical data such as IP address, browser type, device information and pages visited
  • Usage data collected via cookies and similar technologies (see section 10)

Information we process on behalf of clients

When we deliver services to a client firm, we act as a data processor and handle personal information on that firm's behalf and instructions, under the terms of our service agreement. Depending on the service, this may include:

  • Names, contact details, dates of birth and identifiers such as ABNs or tax file numbers
  • Employment and payroll details
  • Financial information such as income, expenses, superannuation and investment details
  • Health, insurance or clinical administration data (for healthcare back-office services)

We only collect and process information that is reasonably necessary for, or directly related to, the services we have been engaged to provide.

Sensitive information

Some of the information we process — such as health information — is "sensitive information" under the Privacy Act. We only handle sensitive information where it is necessary to deliver the contracted service, where the engaging client has a lawful basis to provide it to us, and with appropriate additional safeguards in place.

04 How we use your information

We use personal information to:

  • Respond to your enquiries and provide the information or services you request
  • Provide, manage and improve our services
  • Communicate with you about your engagement or matters you have raised
  • Comply with our legal, regulatory and contractual obligations
  • Protect the security and integrity of our systems and business

We do not sell, trade or rent personal information. We do not use information we process on behalf of client firms for our own direct marketing, and we do not disclose it to third parties without the engaging firm's authorisation or as required by law.

Marketing

We may occasionally contact you about our own services where we have your consent or where permitted by law. You can opt out of marketing communications at any time by following the unsubscribe instructions in the message or by emailing us. We do not use personal information for automated decision-making that produces legal or similarly significant effects.

05 Disclosure & cross-border transfers

We may disclose personal information to trusted parties who help us operate our business and deliver our services, including our own team members at our delivery centre in India, and reputable service providers (for example, IT, hosting and email providers).

Cross-border disclosure (APP 8). Because we operate a delivery centre in India, personal information may be accessed or processed outside Australia. In line with Australian Privacy Principle 8, we take reasonable steps to ensure overseas recipients handle your information consistently with the APPs, including through contractual protections, access controls and confidentiality obligations.

We may also disclose personal information where required or authorised by law, or to protect the rights, property or safety of IntelliCX, our clients or others.

06 Data security

We take the security of personal information seriously and maintain safeguards designed to protect it against loss, misuse and unauthorised access, including:

  • Encrypted data storage and transmission
  • Role-based access controls and multi-factor authentication
  • Background-verified staff bound by confidentiality agreements
  • Regular security awareness training and documented incident-response procedures

While we take reasonable steps to protect your information, no method of transmission or storage is completely secure, and we cannot guarantee absolute security.

07 Data retention

We retain personal information only for as long as necessary to fulfil the purposes for which it was collected, including to meet legal, accounting or reporting obligations. When information is no longer required, we take reasonable steps to securely delete or de-identify it.

08 Your rights

Depending on your location, you may have the right to:

  • Access the personal information we hold about you
  • Request correction of inaccurate or incomplete information
  • Request deletion of your information ("right to be forgotten," where applicable)
  • Object to or restrict certain processing
  • Request portability of your information
  • Withdraw consent at any time, where processing is based on consent

To exercise any of these rights, contact us at connect@intellicx.co. We will acknowledge your request within 7 days and provide a response within 30 days, or otherwise within the timeframes required by applicable law. There is no charge to make a request, though in limited cases we may recover reasonable costs where permitted by law.

Complaints

If you are not satisfied with how we have handled your personal information, please contact us using the details above. We will acknowledge your complaint within 7 days and provide a decision within 30 days.

If you remain dissatisfied with our response, you may lodge a complaint with the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au or on 1300 363 992.

09 Cookies

Our website may use cookies and similar technologies to help it function and to understand how visitors use it. You can control or disable cookies through your browser settings, though some features of the site may not work as intended if you do.

10 Children's privacy

Our website and services are intended for businesses and are not directed at children. We do not knowingly collect personal information from children.
